Task App Integrations

Connect your spaces to popular task apps like Asana, Trello, etc. to keep project tasks organized in the same place as all the other project resources. You can easily connect a new or existing task list to a space in seconds.

All collaborators will see the task list connected to the space, giving everyone clarity on where tasks are being tracked for any given project.


Supported task apps

You can currently connect spaces to the following task apps:

  • Asana
  • Trello
  • ClickUp coming soon

Connect a space to an external task list

Connect a space to an external task list to use apps like Asana or Trello for tasks.

  1. Open a space.

  2. From within the Tasks view in the header of the space, click on the task app of your choice below the built-in Workona tasks section. You may need to click + Tasks Section first.

  3. Authorize the app integration if you haven't already.

  4. Connect a new or existing task list:

    • New task list

      1. Click the field that appears under the create section (e.g. Create an Asana Project).
      2. Type in a name for the new task list, and fill out any other required fields.
      3. Click the CREATE button.
    • Existing task list

      1. Click the field that appears under the select section (e.g. Select an existing Asana Project).
      2. Select the task list you want to connect.
  5. The task list will be connected to the space for all collaborators, so everyone can easily access the project tasks.


Open a connected task list

All space collaborators can easily access the space tasks, whether you're using Workona's built-in tasks or have connected the space to an external task list.

  1. Open a space that has a connected task list.
  2. Click the Tasks view to reveal the connected task list popup.
  3. Click on the task list you want to open.
  4. The task list will be opened in a new tab — unless it's already open in a tab within the space, in which case the existing tab will be used.

In the connected task list popup, CMD-click (on Mac) or CTRL-click (on Windows) the task list to always open it in a new tab.

Connect multiple task lists to a space

You can connect multiple task lists to a space for those times when you're tracking multiple sub-projects in one space. This is also helpful for teams that maintain both an internal task list and another client-facing task list.

  1. Once you have connected one task list to a space, click the Tasks view to reveal the connected task list popup.
  2. Click Connect space to additional task list at the bottom of the menu.
  3. Follow the standard steps for connecting a task list above.

Disconnect an external task list from a space

  1. Open the space that has the connected task list.
  2. Click the Tasks view to reveal the connected task list popup.
  3. Hover over the task list you want to disconnect, then click the 'Disconnect task list from space' button (trash icon) to disconnect it.

Auto-create task lists within spaces

If you always want to create a dedicated task list (e.g. Asana Project, Trello Board, etc.) for a certain type of repeating project (e.g. client, campaign, event, etc.), you can set up a space template to automatically create a task list whenever you create a space from that template.

Each space you create from the template will be connected to a unique task list in your favorite project management app.

You can even create the task list from your templates in Asana/Trello to give your team a standardized set of tasks & steps that must be completed for each project.

Once you have your space template & automations set up, everything your team needs for a project will finally be just a click away — and always organized alongside all the other project resources.
