Online workspaces definition
If you find yourself wondering what is an online workspace?, you’ve come to the right place.
Online workspaces are collaboration spaces that live on the web (i.e. accessed at workona.com) where your team can share Google Docs, research, files, task lists, or anything else related to your project.
The features of an online workspace vary, however Workona’s online workspaces are essentially smart browser windows that remember the browser tabs you have open in the workspace. That way you can safely shut the window and pick up right where you left off when you’re ready to work on the project again.
Sometimes the best way to understand a new concept is to see a few examples. Online workspaces can be used for projects, workflows, meetings, dashboards, and much more. Here are a few common types of projects you might use a workspace for:
- Research projects
- Collaborative projects
- Marketing campaigns & articles
- Design projects
- Product epics & features
- Student group projects
As you can see from this list of examples, online workspaces can be used for almost anything.
Setting up a project workspace
To get started, sign up for a free Workona account, then create a project workspace and give it a name like “Marketing Campaign” or “Biology Presentation”.
Next, open up all the cloud documents (Google Docs or Slides, Microsoft Word online, etc.), research (Wikipedia, blog articles, etc.), and useful tools (Asana task lists, Google Calendar, etc.) you might need for the project.
Now that you have all of the browser tabs in the project workspace set up, feel free to shut the browser window. Next time you open the project workspace, all the tabs you had open in the workspace’s window will be automatically reopened for you.
Sharing the workspace with your team
One of the many advantages of online workspaces is that it’s easy to share them with your team. Since online shared workspaces are collaborative by definition, they make working on a project with coworkers or group members much easier. However, finding a high-quality free solution with sharing features can be difficult. Luckily, every Workona workspace has sharing functionality built in.
To share the workspace you created earlier, simply click the
Share button in the upper right of the Workona workspace manager and enter your collaborators’ emails. Once your team accepts the shared workspace, they will have easy access to all the documents, resources, and other tabs you’ve saved in it.
If you gave your team
Edit permissions, they will be able to save additional tabs to the workspace in order to share them with everyone else. With everything your team needs for the project in one place, online workspaces make it easy to keep everyone on the same page.
